Privacy Policy

Last updated: January 2024

We're pretty straightforward about how we handle your info - here's everything you need to know.

Look, we get it - privacy policies can be a real snooze-fest. But we actually care about keeping your information safe, so we've tried to make this as painless as possible. At Mystralven Quintho Architecture, we only collect what we need to provide you with great service, and we're not in the business of selling your data to anyone. If you've got questions after reading this, just give us a shout.

When you reach out to us or work with us on a project, we'll typically collect:

  • Contact details: Your name, email, phone number, and mailing address
  • Project information: Property details, design preferences, budget ranges, timelines
  • Communication records: Emails, meeting notes, phone call summaries
  • Financial info: Billing details and payment information for active projects
  • Website data: Basic stuff like IP addresses, browser types, and how you navigate our site

We're not gonna ask for anything we don't actually need. If it seems irrelevant to your architectural project, we probably won't request it.

We use the information you share with us to actually do our job, which includes:

  • Responding to your inquiries and providing project consultations
  • Designing and executing your architectural projects
  • Managing contracts, invoicing, and payment processing
  • Keeping you updated on project milestones and changes
  • Improving our services based on feedback and interactions
  • Sending occasional updates about our work (only if you've opted in)
  • Meeting legal and regulatory requirements in the architectural field

We're not gonna spam you with marketing stuff unless you've actually said you want to hear from us. Our focus is on delivering quality architectural services, not filling up your inbox.

Here's the deal - we might need to share your information with certain folks, but only when it makes sense:

  • Project partners: Engineers, contractors, and consultants working on your project
  • Service providers: Cloud storage, accounting software, project management tools
  • Legal requirements: If we're legally obligated to disclose info to authorities
  • Professional advisors: Lawyers, accountants, and insurance providers when necessary
  • Municipal authorities: For permits, zoning applications, and regulatory compliance

We're not selling your data to third-party marketers or anything sketchy like that. Anyone we work with is bound by confidentiality agreements and professional standards.

Security's a big deal for us. We've put in place reasonable safeguards including:

  • Encrypted data transmission and secure storage systems
  • Password-protected access to sensitive client files
  • Regular software updates and security patches
  • Limited staff access - only people who need your info can see it
  • Secure physical storage for any paper documents
  • Regular backups to prevent data loss

That said, no system's 100% foolproof. We do our best to keep things locked down, but we can't guarantee absolute security. If there's ever a breach, we'll let you know right away.

Our website uses cookies - those little files that help us understand how people use our site. Nothing creepy, just practical stuff:

  • Essential cookies: Needed for basic site functionality
  • Analytics cookies: Help us see which pages get the most traffic
  • Preference cookies: Remember your settings between visits

You can disable cookies in your browser settings if you want, though it might make some parts of the site a bit clunky. We're not using cookies to track you across the internet or anything invasive like that.

We don't hang onto your information forever. Here's our general approach:

  • Active projects: We keep everything while we're working together
  • Completed projects: Retained for 7 years minimum (architectural industry standard)
  • Inquiries that didn't go anywhere: Usually deleted after 2 years
  • Financial records: Kept for 7 years for tax and legal purposes
  • Marketing communications: Until you ask us to stop or we realize you're not interested

Sometimes we're required by professional regulations to keep certain records longer. It's not because we're sentimental - it's just part of being a licensed architectural firm in Canada.

You've got rights when it comes to your personal information. Here's what you can do:

  • Access: Ask to see what information we have about you
  • Correction: Request we fix any inaccurate data
  • Deletion: Ask us to delete your info (within legal limits)
  • Opt-out: Unsubscribe from marketing emails anytime
  • Withdraw consent: Change your mind about how we use your data
  • Data portability: Get a copy of your data in a usable format

Just shoot us an email at info@mystralvenquintho.info or call (604) 782-9456 if you want to exercise any of these rights. We'll get back to you within 30 days.

We're based in Vancouver, BC, and most of our data stays in Canada. However, some of our cloud services and tools might store data on servers in other countries, particularly the United States.

When this happens, we make sure those providers have adequate security measures in place. Your information's protected by Canadian privacy laws regardless of where it's physically stored.

Our services aren't directed at anyone under 18, and we don't knowingly collect information from kids. If you're a parent and think your child has shared info with us, let us know and we'll delete it.

Obviously if you're working with us on a family home project and your kids' rooms are part of the design, that's different - but we're talking about personal data collection here, not design preferences for a teenager's bedroom.

Privacy laws and best practices evolve, so we might need to update this policy from time to time. When we do, we'll update the "last updated" date at the top of this page.

If we make any major changes that significantly affect how we handle your data, we'll let you know directly via email or a prominent notice on our website. We're not gonna pull a fast one on you.

Our website might link to other sites - suppliers, industry resources, project examples, that sort of thing. Once you click through to another site, this privacy policy doesn't apply anymore.

We try to only link to reputable sources, but we can't control what they do with your data. Check out their privacy policies before sharing any personal information.
